Payroll Outsourcing Cost in Sri Lanka: What Should You Compare Before Choosing a Provider?

The cheapest monthly payroll fee is not always the lowest-cost payroll model. Employers should compare what is included, who is responsible for attendance preparation, whether HRIS and biometric attendance are separate costs, and how much internal time is still required every month.

Start with the service scope, not only the monthly fee

Payroll outsourcing can mean very different things. One provider may calculate salaries from a clean file supplied by the client. Another may support attendance review, payslips, bank files, statutory payroll outputs, HRIS and management reporting. Before comparing prices, write down the exact work your internal HR team will still need to do.

Employee count usually changes the operating effort

More employees usually mean more attendance exceptions, payroll changes, leave movements, overtime records, joiners and resignations. A fair quotation should therefore consider employee count together with complexity, branch structure, devices and payroll rules.

Implementation cost matters because setup quality affects every future payroll

A good implementation is not only employee data upload. It includes employee structure, attendance rules, shifts, rosters, payroll components, reports, testing and parallel validation. Cutting this stage too aggressively can move cost into future corrections.

Compare what technology is included

Ask whether HRIS access, attendance integration, biometric hardware, reports, backups and support are included or charged separately. Master HR’s positioning is different because eligible payroll-service clients can receive HRIS access and a biometric attendance device as part of the agreed package.

Measure internal time saved

The best comparison is not only provider fee vs provider fee. Also estimate how many internal hours are spent collecting attendance, checking missing punches, calculating OT, preparing payroll, creating payslips, responding to employee queries and correcting errors. A managed model can create value by reducing this repeated workload.

How Master HR approaches this
